VETTING FOR POSITIONS IN THE SCHOOL OF ARCHITECTURE

This notification, also copied to the attention of Dr. Moses M. Zinnah, Vice President for Academic Affairs, University of Liberia, is submitted to the LIA Leadership for posting on the LIA Platform as the proposed vetting process for the hiring of (2) Instructors and (1) Program Secretary, and for qualified LIA Members to apply for the instructor positions, including Officers of the LIA.


Prerequisite: Announcement of the Bachelor of Architecture (Professional Degree) Program on UL Facebook site by early September 2020, for start of classes early January 2021, and start of the Student Recruitment (Testing and Evaluation Process) by October 2020.


Vetting Process: The process shall be conducted by Alexander M. Massey, LIA, the Chairman of the Architecture Program Curriculum Committee, and the UL appointed Assistant Interim Chair for the Architecture Program, in joint consultation with Prof. George W. K. Intsiful, the Program Interim Chair, and shall include the following procedures:

 

1.    QRARC Requirements to hire (2) Instructors and (1) Program Secretary for the proposed Architecture Department of the T.J.R. Faulkner College of Science and Technology, defined as qualifications; relevant experience; availability; references; and continuing education.

2.    Expression of Interest (EOI) Letter with QRARC requirements submitted to the attention of Assistant Interim Chair Massey, for the positions of Instructor I and Instructor II, equal in principle, by September 8, 2020.

3.    LIA Consolidated Draft Curriculum for review by candidates. 

4.    Student Performance Criteria (SPC) for review by candidates.

5.    Faculty Workload Requirements for review by candidates, to meet UL full-time and part-time faculty employment policies.

6.    Vetting of Candidates by Assistant Interim Chair Massey with Interim Chair Prof. Intsiful, and shortlist recommendations by September 11, 2020.

7.    Shortlist Recommendations to the attention of UL Vice President for Academic Affairs, Dr. Moses M. Zinnah, by September 15, 2020, for review and final selection of the vetted candidates.

8.    Search and Input from Dr. Zinnah on qualified UL staff persons that may be interested in applying for the Program Secretary position in addition to other sources to fill the position.






Job Description:


The Program Secretary will provide administrative assistance support and secretarial support to faculty, and report to the Head of the Architecture Department for the T. J. R. Faulkner College of Science and Technology.


Primary Job Responsibilities:


1.    Maintenance of records and files (including Department information and Committees information).

2.    Data entry for the Department Chair and Department Faculty as needed.

3.    Preparing letters as required.

4.    Assisting with office and studio supplies, deliveries, purchase orders and facility maintenance request orders.

5.    Managing calendars as required.

6.    Coordinating weekly or monthly meetings as required.

7.    Provide information tracking and collection as needed for accreditation (National Accreditation Board, Accra, Ghana).

8.    Assist with hosting site visitors from the accrediting agency.

9.    Other basic secretarial duties (such as coordinator of communications and IT services, distribution of faxes, photocopies, and mail distribution).

10.    Ordering business cards, name tags, door signs and desk signs for new faculty as required.

11.    Assist with Departmental events such orientation, seminars, workshops, forums and public outreach activities.

12.    Work with Enrollment to schedule faculty appointments with prospective students.

13.    Assist Faculty with work plans and assist with meeting minutes for all Department meetings required including preparing agenda hand-outs as requested.

14.    Assist with managing faculty budgets.

15.    Other duties as assigned.


Qualifications:


High School Diploma with Continuing Education or Associate Degree. Associate Degree preferred.

•    Strong interpersonal and communication skills and the ability to work effectively with a wide range of academics and students in a collegiate environment.
